Equipping operatories is one of the few startup or expansion costs you can actually shape with your own choices. This estimator lays out the main line items for a single room, multiplies them across the rooms you plan to open, adds the shared equipment every office needs, and compares three budgets at once: everything new, everything used, and the mix you choose line by line.

The default prices are placeholders. We picked round numbers so the calculator produces a result the moment the page loads. They are not quotes, averages, or market data, and your real prices could be much higher or lower depending on brand, model, age, condition, configuration, and where you practice. Replace every number with a written quote before you use the total for a loan request or a lease decision.

How to use the operatory cost estimator

  1. Set the number of operatories you are equipping now. If you are plumbing extra rooms for later, leave them out and budget them separately.
  2. Work down the per-operatory table. Replace the new and used prices with quotes, and adjust the quantity if a room needs more or fewer of something.
  3. Use the Your plan column to choose new, used, or skip for each line. Skip removes the item from all three scenarios, which is useful if you already own it or it does not apply.
  4. Fill in the shared equipment table: compressor, vacuum, sterilizer, and anything else that serves the whole office, such as a panoramic unit or ultrasonic cleaner.
  5. Set a contingency percentage and read the totals.

Sharing sensors? Many offices do not buy one sensor per room. If you plan to share, set the sensor quantity per room to 0 and enter the number of sensors you will buy in the Other shared items row instead.

What each line item covers

How the totals are calculated

For each line, the calculator multiplies quantity by price. The per-operatory figure is the sum of every line that is not skipped, using new prices for the all-new scenario, used prices for the all-used scenario, and whichever price you picked for your plan. That per-room figure is multiplied by the number of operatories. Shared equipment is added once. The contingency percentage is applied to that subtotal, and the result is the total. The per-operatory figure in the headline divides your plan's total, shared equipment and contingency included, by the number of rooms, which is a useful number for comparing layouts.

Worked example (hypothetical)

With the placeholder defaults and three operatories, the estimator shows:

In this made-up example, the mix costs $62,700 less than all new, about 39% lower, while keeping new, warrantied equipment where failures would stop the whole office (compressor, vacuum, sterilizer) and where technology ages fastest (imaging). What this estimator leaves out

Turning the estimate into a real budget

Get at least two written quotes for every major line, and make sure each quote says the same thing: model, age, what is included, who installs it, and what warranty or return window applies. For used equipment, run through the pre-purchase checklist and consider an equipment inspection before you pay.
